Booking Terms and Conditions
Tropical Tours Zanzibar
1. Introduction
Welcome to Tropical Tours Zanzibar. These Booking Terms and Conditions outline the agreement between the client (hereafter referred to as “you” or “the client”) and Tropical Tours Zanzibar (hereafter referred to as “we,” “us,” or “the company”). By making a booking, you acknowledge that you have read, understood, and agreed to these terms and conditions.
2. Booking & Payment
2.1. To secure your booking, a deposit or full payment may be required, depending on the nature of the tour and services requested.
2.2. Payment can be made via bank transfer, credit/debit card, or any other payment method specified at the time of booking.
2.3. The balance of payment must be settled prior to the commencement of the tour unless otherwise agreed upon.
3. Cancellation & Refund Policy
3.1. If you wish to cancel your booking, you must notify us in writing.
3.2. The following cancellation charges apply:
- More than 30 days before the tour date: Full refund minus administrative fees.
- 15-30 days before the tour date: 50% refund.
- Less than 15 days before the tour date: No refund.
3.3. In case of a no-show, no refund will be issued.
3.4. Refunds will be processed within 14 business days after approval.
4. Changes & Amendments
4.1. Any changes to your booking must be requested in writing and are subject to availability.
4.2. We reserve the right to modify itineraries due to unforeseen circumstances, including but not limited to weather conditions, safety concerns, or government restrictions.
5. Travel Insurance
5.1. We strongly recommend that all clients obtain comprehensive travel insurance to cover potential risks, including medical emergencies, cancellations, lost belongings, and unforeseen circumstances.
6. Health & Safety
6.1. Clients must ensure they are medically fit to participate in the tour.
6.2. Certain tours may have age, health, or fitness restrictions. It is the client’s responsibility to check before booking.
6.3. Clients must follow all safety guidelines provided by our guides and tour operators.
7. Responsibilities & Liability
7.1. Tropical Tours Zanzibar acts as an agent for various service providers and is not liable for any loss, damage, accident, injury, or delay resulting from circumstances beyond our control.
7.2. We are not responsible for any personal belongings lost or stolen during the tour.
7.3. In the event of force majeure (natural disasters, political instability, pandemics, etc.), we will make reasonable efforts to reschedule or provide an alternative solution but cannot guarantee full refunds.
8. Code of Conduct
8.1. Clients are expected to behave responsibly and respectfully towards fellow travelers, staff, and local communities.
8.2. Any behavior deemed inappropriate or disruptive may result in removal from the tour without a refund.
9. Complaints & Dispute Resolution
9.1. If you have any complaints during your tour, please inform our representative immediately so we can address the issue.
9.2. If the complaint is not resolved, a formal written complaint must be submitted within 14 days of the end of the tour.
9.3. Any disputes arising from these terms shall be governed by the laws of Tanzania.
